Job Description

We’re seeking a freelance systems strategist to evaluate, enhance, and document our business infrastructure—focusing heavily on optimizing and extending the functionality of our GoHighLevel system. This isn’t about overengineering or building from scratch; it’s about refining what exists, connecting the dots, and building clean, scalable automations. You’ll work directly with the Founder to shape workflows that reduce friction, increase client conversion, and allow for seamless delegation across the team.

 

Key Responsibilities

  • Audit our existing GoHighLevel instance and identify gaps, inefficiencies, or unused opportunities
  • Recommend and implement workflow improvements (lead capture, tagging, nurture sequences, task flows)
  • Configure systems for intake forms, contracts, proposals, invoicing, scheduling, surveys, and testimonials
  • Transition from existing tools (like Mailchimp and other third-party apps) to fully integrated GoHighLevel systems, and integrate with our companion app, which will serve in part as a client portal, and other tools in our stack such as Zapier, Google Workspace, Teamwork, QuickBooks Online, and Stripe
  • Build automated pipelines that can adapt to multiple service offerings (organizing, design, coaching)
  • Document setup clearly (Loom walkthroughs + Google Docs SOPs)
  • Train the Founder on how to monitor and tweak workflows independently

You Might Be a Fit If You…

  • Are highly experienced with GoHighLevel and confident optimizing existing setups—not just starting fresh
  • Understand how to apply automations in the context of a service-based business (not e-comm or info products)
  • Know how to simplify, not overcomplicate
  • Are comfortable with Zapier, Google Workspace, and project tracking tools like Teamwork
  • Can deliver clean documentation and provide user-friendly walkthroughs
  • Are proactive, deadline-driven, and capable of working independently without hand-holding

Project Duration

  • This is a one-time freelance project expected to last until the successful setup and handover of the automated systems, with future opportunities to refine or expand the workflow automations as needed.

Preferred Background

  • No specific degree required—demonstrated experience and technical capability matter most
  • Certifications or training in systems automation, CRM platforms, or process design are a plus

Compensation

  • Freelance/contract role
  • Flat fee or milestone-based, depending on complexity and scope
  • Timeline and deliverables will be defined after a discovery session with the Founder
