Job Description
The Virtual Assistant (AI-Focused) will support the Founder by helping manage daily tasks, keeping things organized, and ensuring day-to-day operations stay on track. This is a foundational support role focused on communication, scheduling, light coordination, and task management.
Key Responsibilities
- Founder Support: Keep tasks, action items, and time-sensitive requests visible and prioritized
- Calendar & Email: Monitor and maintain the founder’s digital calendar, coordinate meetings, and flag high-priority communication
- Communication Support: Draft polished, on-brand messages, internal memos, and follow-up copy
- Lead & Contact Tracking: Update and maintain contact records (e.g. business card imports, Google Workspace tracking sheet)
- Documentation: Assist in maintaining internal SOPs and basic client-facing templates as needed
- Project Coordination (Optional): Help coordinate logistics for events, vendor expos, or marketing projects

- Helping manage basic documentation and lead tracking without deep technical setup
- Acting as a reliable, responsive point of contact for internal updates and select client communications
- Staying organized and focused while working across multiple priorities in a growing startup

- Know how to use Google Workspace, Mailchimp, and simple AI tools like ChatGPT to enhance productivity
- Know how to leverage AI tools to create clear, effective, and professional communications
- Are not afraid to ask clarifying questions or flag bottlenecks early
- Can work independently and communicate clearly using project management tools such as Teamwork or similar platforms (e.g., Asana, Monday.com)
Preferred Qualifications
- Familiarity with the professional organizing or interior design industry
- Basic knowledge of Canva and Mailchimp workflows
- Based in or near Fairfield or New Haven County, CT and open to occasional event support
Education
- High school diploma or equivalent required
- College degree and relevant certifications are a plus
Additional Requirements
- Valid driver’s license and reliable transportation
- Ability to pass a background check and provide at least (3) three professional references
- Availability to work flexible hours
Hours & Compensation
- Freelance contractor, 5–10 hours/week to start with room to grow
